Our Operations department is seeking an Executive Assistant & Client Change Professional to join the team. The ideal candidate will be experienced in handling a wide range of administrative and executive support-related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well-organized, flexible, and enjoy the administrative challenges of supporting a team within a large department.

 

Responsibilities of this position include:

 

§  Draft, revise, and format professional correspondence, reports, and presentations.

§  Manage distribution of advisory engagement letters and coordinate document requests.

§  Organize and maintain client document retention systems, including light data analysis and entry.

§  Track and update due date reports for team members; follow up to ensure timely completion and accuracy.

§  Coordinate calendars and schedule internal/external meetings; arrange meals when needed.

§  Provide general administrative support as requested by team members.

§  Maintain and update client contact information across all relevant systems.

§  Enter expenses for Principals and assist with time entry as needed.

§  Arrange travel plans and itineraries for all levels, including CPE training and client meetings.

§  Foster professional relationships with clients and colleagues.

§  Proactively seek opportunities to support the team and take on cross-functional responsibilities.

§  Apply creative and solution-oriented problem-solving skills.

§  Handle sensitive client information with discretion and confidentiality.

§  Manage multiple projects simultaneously with a high level of attention to detail.

§  Upload relevant documents into SurePrep.

§  Perform monthly reconciliations of company credit card transactions.

§  Assist with check processing as needed.

§  Refresh dashboards to ensure up-to-date reporting.

§  Serve as the Tax client change representative, updating all related platforms and assisting with Assurance and Advisory PE entries.

§  Create Tax iChannel client profiles.

§  Act as CRM administrator; troubleshoot entries, perform data cleanup, and ensure platform accuracy.

§  Triage, assign, and complete requests within the FinOps Request Center.

§  Generate ad hoc reports upon request.

§  Support special projects as they arise.

 

In addition, the skills needed include:

 

§  Bachelor's degree and/or 3+ years of related experience.

§  Advanced proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
